Price it, sign it, invoice it from the driveway
EstimateKit turns the repair into an estimate the customer signs on their phone, then into the invoice when you are done. $49/month, 14-day free trial.
How to price a service call
The diagnostic fee pays for the drive and the first half hour of finding the problem; $89–$149 is the 2026 range for residential. Labor is billed at your loaded rate, which should be $150–$200 an hour for service in most markets because service techs bill fewer hours a day than install crews. Parts are marked up on a sliding scale: a $12 capacitor sells for $60–$90, a $400 ECM motor sells for $700–$900. The full scale is in the HVAC parts markup chart.
Flat rate vs time and materials
Time and materials is what this calculator computes. Flat rate is the same math done in advance for every repair in a price book, then presented as one number. Customers prefer flat rate because there is no clock running, and shops prefer it because a fast tech is rewarded rather than penalized. Use this calculator to build or check flat-rate prices: set the hours to the book time for the task, and the total is the flat-rate price.
The waived diagnostic
Crediting the diagnostic fee when the customer approves the repair is a strong close, but it only works if the repair price already carries the margin. Toggle it on and watch the gross margin; if it drops under 50%, raise the labor rate or the parts markup rather than eating the fee.

Frequently asked questions
How much should an HVAC service call cost?
A diagnostic visit runs $89–$149 in 2026. A typical repair ticket, diagnostic plus a common part and an hour of labor, lands at $250–$500. After-hours and emergency calls add 50–100% to the labor line.
How much should I mark up parts?
On a sliding scale. Small parts under $50 are marked up 200–300%, because the price has to cover stocking, the trip and the warranty, not just the part. Parts from $50–$300 get 100–150%, and expensive parts like compressors and ECM motors 50–100%.
What labor rate should I bill for service?
Most residential HVAC companies bill $150–$200 per hour for service in 2026, more than for installs, because service techs bill fewer hours in a day and carry more overhead per hour. Build the number from wages, burden and overhead with the labor rate calculator rather than copying a competitor.
Should I waive the diagnostic fee if they approve the repair?
It closes more repairs and customers like it, so yes if your repair prices already carry a 50%+ gross margin without the fee. If waiving it drops you under that, keep the fee or raise the repair price; do not give away the drive and the hour of diagnosis.
Is flat-rate pricing better than hourly?
For service, usually. Customers get one number up front, techs are rewarded for speed, and the office can quote from the truck. The flat rate is just time-and-materials math done in advance for each task, which is what this calculator does when you enter the book time.
