    What copies over

The money side goes to QuickBooks

Everything your accountant needs, kept in step as invoices change and payments come in.

    Customers

Created the first time you invoice them. If they're already in QuickBooks, EstimateKit uses that record when the email or phone matches as well as the name, so you don't get doubles.

    Invoices

Every line, with each category (equipment, labor, materials) going to its own product under the income account you pick, and the sales tax code you matched it to.

    Deposits

A deposit taken on an approved quote is recorded as a customer deposit, and the final invoice goes across less the deposit, to the cent.

    Payments

Card payments from the invoice link, plus the checks, cash and e-transfers you record. Partial payments too.

    Changes

Edit an invoice and QuickBooks updates. Cancel it and it's voided there. Delete a payment and it comes off.

    Edits made in QuickBooks

If someone changes a synced invoice in QuickBooks, EstimateKit stops and shows it as changed there. You choose whether to overwrite it or leave it.

    What stays in EstimateKit

    • Quotes and good, better, best options
    • The price book, jobs and the schedule
    • Photos, checklists and signatures
    • Your team and who sees prices

That's the work your crew does in the field. QuickBooks gets the result: who was billed, for what, and what's been paid.

    Setup

    Connected in four steps

Most shops are done in a few minutes. EstimateKit only asks QuickBooks for accounting access.

    1. 01

      Connect

In Settings, Integrations, press Connect QuickBooks, sign in to Intuit and pick your company. Do this from a computer; once it's connected, syncing works from every phone.

    2. 02

      Match it up

Pick the income account, and match each of your tax rates to a QuickBooks sales tax code. Nothing is guessed: an invoice with an unmatched rate waits until you choose.

    3. 03

      Pick a start date

Only invoices sent on or after the date go across, so anything you already typed into QuickBooks by hand isn't doubled.

    4. 04

      Turn it on

Switch on Send to QuickBooks. From then on, each invoice and payment usually lands within a minute, and the sync activity list shows each one.

    Sales tax

    Canada and the US

In Canada, GST, PST and HST are matched to your QuickBooks tax codes once. A job with labor at one rate and materials at another goes across with each line taxed the way you charged it.

In the US, companies that set their own sales tax rates in QuickBooks work today. Each rate you charge is matched to a QuickBooks tax code, and nothing is guessed.

    Straight answers

    What it doesn't do

    • QuickBooks Desktop

      Only QuickBooks Online is supported.

    • Changes made in QuickBooks

It's one way. Edits in QuickBooks aren't copied back into EstimateKit; they're flagged so nothing is overwritten by surprise.

    • US automated sales tax

US companies that enter their own sales tax rates work today. If QuickBooks works out your US sales tax automatically, that setup is coming soon.

    • Refunds and card fees

A refund shows up as the payment being changed or removed, not as a refund receipt, and Stripe's card fees aren't recorded as an expense.

    Questions

    EstimateKit and QuickBooks, answered

Does EstimateKit work with QuickBooks Online?+

Yes. Connect your QuickBooks Online company once, and customers, invoices, deposits and payments copy into it on their own, usually within a minute. It's included in the $49 plan.

Does it work with QuickBooks Desktop?+

No. Only QuickBooks Online is supported.

    Do estimates sync to QuickBooks?+

No. Quotes stay in EstimateKit, where the customer picks an option and signs. When the work is invoiced, the invoice and its payments go to QuickBooks.

    Will it create duplicate customers?+

It's built not to. A customer already in QuickBooks is used when the email or phone matches as well as the name. A name match alone isn't trusted, so two different people with the same name don't get merged.

Does it handle Canadian sales tax?+

Yes. GST, PST and HST rates are matched to your QuickBooks tax codes once, and an invoice with labor at one rate and materials at another goes across with each line taxed correctly.

Does it work for US companies?+

Yes, for US QuickBooks companies that enter their own sales tax rates. If your QuickBooks calculates US sales tax automatically, that setup isn't supported yet.

What happens if my bookkeeper edits an invoice in QuickBooks?+

EstimateKit notices, stops syncing that invoice and shows it as changed in QuickBooks. You decide whether to overwrite it from EstimateKit or leave their version.

    How much does it cost?+

$49 a month for the whole shop, up to 25 people, with the QuickBooks sync included. No contract, and every new account gets 14 days free with no card.
