HVAC estimating software with 41 repairs priced before your first call.
Start from a price book that already has capacitors, igniters, blower motors and drain lines in it, and good, better, best quotes for AC, furnace and heat pump replacements. The homeowner picks an option and signs on their phone.
No credit card. Cancel anytime. Up to 25 people for $49 a month.
3-Ton AC Replacement
A new 3-ton system installed and running, with a basic thermostat and a 1-year labor warranty.
The same 3-ton system with a Wi-Fi thermostat you can control from your phone, a covered line set, and quieter mounting.
A higher-capacity 3.5-ton system with an Ecobee thermostat and 10 years of parts and labor coverage.
Which kind you need
Two kinds of HVAC estimating software
The name covers two different tools. Pick by where you do the estimate.
Quoting software
Service, repair and replacement, at the house
You price a known job from a price book, offer options, and get the homeowner's signature on the spot. Speed and a clean quote matter more than measuring. This is what EstimateKit is.
Takeoff and bid software
Commercial and new construction, from plans
You measure ductwork, equipment and fittings off drawings and build a bid for a general contractor. Accuracy on quantities matters most. EstimateKit doesn't do this; use a takeoff tool built for bids.
The price book
41 HVAC repairs, priced on day one
A new HVAC account opens with 41 repairs in 7 groups, each with its hours and parts already in it, and 6 good, better, best quotes: 2-, 3- and 4-ton AC replacements, a furnace, a heat pump and a tune-up.

Starting prices, not your prices. Each repair carries its hours and parts, so setting your own hourly rate and markup once re-prices the whole book. Add your own repairs and import your supplier's price sheet any time.
What you get
From the first call to paid, in one place
Every part of this is in the $49 plan. Nothing is an add-on.
Repairs ready to price
Capacitors, contactors, igniters, flame sensors, inducer and blower motors, drain lines and thermostats, each with the hours and parts filled in. Set your hourly rate and markup once and the whole book follows.
Options on every replacement
Good, better and best on one quote: the straight swap, the one with the Wi-Fi thermostat and quieter mounting, and the bigger system with ten years of coverage. The homeowner picks a tier instead of saying yes or no.
Your margin while you quote
Cost and margin show in the quote builder as you add lines, so you see what the job makes before the customer does.
Signed on their phone
The quote goes by email or text from your own phone. They open it, pick an option and sign, and you can take a deposit before you order the equipment.
Every unit on file
Log the systems you install and service with the install date and a photo of the data plate, so you can see which ones are getting old before they fail.
Maintenance plans
Sell a plan with spring and fall tune-ups. Visits get scheduled from it and the renewal reminder goes out on its own.

Is it for you
Who it fits, and who it doesn't
A good fit
- Residential HVAC service, repair and replacement
- Shops from one truck to 25 people
- Contractors quoting on paper, in Excel or in an invoicing app
- Anyone tired of paying per seat as the crew grows
Not the right tool
- Commercial and new-construction bids taken off from plans (use a takeoff tool)
- Load calculations and duct design (Manual J and D)
- Shops that need two-way texting or call tracking in the same tool
- Companies with more than 25 people on one account
What it doesn't do yet
- No texting service
- Quotes and invoices can be texted from your own phone in one tap, and reminders go by email. We don't run two-way texting or automated text messages.
- Not in the app stores yet
- It runs in the browser on any phone, installs to the home screen, and works with no signal. The store apps are built and in review.
- No GPS truck tracking or call tracking
- There's a dispatch board with a map and a crew calendar with a tech on every job. Live truck tracking, route optimization and call tracking aren't built.
- No tap-to-pay or customer financing
- Customers pay by card from the invoice link, and you can keep a card on file. Tap-to-pay on a phone and financing offers on a quote aren't built.
- QuickBooks Online only, one way
- Customers, invoices and payments copy into QuickBooks Online. QuickBooks Desktop and changes made in QuickBooks aren't synced back, and US automatic sales tax is coming soon.
- 25 people is the cap
- Past 25 people on one account, this isn't the tool for you.
Questions
HVAC estimating software, answered
Is this a takeoff tool?+
No. Takeoff tools measure plans for commercial and new-construction bids. EstimateKit is for quoting work at the house: repairs, tune-ups, and AC, furnace and heat pump replacements.
Does it come with HVAC prices?+
Yes. A new HVAC account starts with 41 repairs and their parts, each with hours and a starting price, plus 6 good, better, best quotes: 2-, 3- and 4-ton AC replacements, a furnace, a 3-ton heat pump and an AC tune-up. Treat the prices as a starting point: the Set my prices button re-prices every repair from your own hourly rate and markup.
Can I quote flat rate and time and materials?+
Both. Repairs carry a flat price built from hours and parts, and any quote can also be built line by line with labor hours, equipment and materials.
Can I give options on a replacement?+
Yes. Any quote can have good, better and best options with their own lines and totals. The homeowner sees all three on one page and signs the one they want.
How much does it cost?+
$49 a month for the whole shop, up to 25 people. No per-seat fees and no contract. Every new account gets 14 days free with no card.
Do my techs need their own logins?+
Yes, and they're included. Each tech gets a login to see their jobs, quote from the field and record the equipment they worked on. Owners decide whether techs can see prices.
Does it work in an attic with no signal?+
Yes. Quotes can be built and saved with no signal and sync when the phone is back in range.
Does it work with QuickBooks?+
Customers, invoices and payments copy into QuickBooks Online, one way. QuickBooks Desktop isn't supported.
