Successware vs EstimateKit in three numbers before the details.
Successware has been around since the early 1990s, when Phil DiRe wrote it to run his family's heating and air business in Buffalo, New York. Today it's a full business system for the trades, used by nearly 1,000 businesses (successware.com/about-us). Since March 2025 it has been owned by JDM Technology Group, which bought it from Authority Brands (Field Technologies Online, March 25, 2025). It is not part of ServiceTitan.
What sets it apart is the accounting. Invoices, the price book and the general ledger are one system, and the new platform does not integrate with QuickBooks for accounting: the accounting module replaces it. It is sold as one package with every module, and its FAQ says it fits a shop with at least one back-office employee and three technicians in the field.
That depth has a cost in time. Its FAQ puts typical implementation at 4 to 6 weeks, with about 30 days of data migration and a data conversion fee that depends on your data, and pricing comes from your account manager rather than a page.
If you run one to ten trucks and keep your books in QuickBooks with an outside bookkeeper, you may not want to move your accounting at all. The day you need software for is: look at the job, quote it, get the yes, do the work, get paid, and come back for the next visit. EstimateKit does that:

When Successware is genuinely the right call.
Successware is the right call for some shops. If you want accounting, payroll posting, call taking and dispatch in one system and you have an office team to run it, the built-in ledger is a real advantage: revenue, job costing and agreement visits land in your books without a sync. Its call center tools, inventory, project management and financing are real too, and it imports the big flat-rate price books.
The question is whether you want to move your books. For a shop of one to 25 people that keeps QuickBooks with an outside bookkeeper and mainly needs to quote, win, schedule, invoice and keep maintenance customers, a 4 to 6 week setup and a new accounting system is a lot to take on.
Successware pros and cons. What's good, what isn't.
Why shops switch. Every one of these is on the $49 plan.
Every quote carries good, better and best options from your own price book. Send it by email or text it from your phone; they choose, sign on their phone, and you get a notification.
$49 a month covers up to 25 people, with owner, office and technician roles. Hiring your next tech doesn't change the bill.
Approval creates the job with the chosen option, a deposit invoice if you take one, and the final invoice when the job is done. Payments and balances stay on the same record.
Maintenance plans lay out the visits for the year, remind the customer when a tune-up is due and before renewal. Equipment records keep model, serial, age and a photo of the data plate.
Techs build and edit quotes with no signal; it syncs when they're back in the truck. Nothing gets overwritten without asking.
Send your supplier price sheet during the trial and we'll load your price book and build the first real quote with you. Free, on the same $49 plan.
EstimateKit takes a home service shop from the quote the customer signs to the invoice they pay, with maintenance plans and equipment records, for $49 a month for up to 25 people.
Where EstimateKit comes up short. Better you hear it from us.
Quotes and invoices can be texted from your own phone in one tap, and reminders go by email. We don't run two-way texting or automated text messages.
It runs in the browser on any phone, installs to the home screen, and works with no signal. The store apps are built and in review.
There's a dispatch board with a map and a crew calendar with a tech on every job. Live truck tracking, route optimization and call tracking aren't built.
Customers pay by card from the invoice link, and you can keep a card on file. Tap-to-pay on a phone and financing offers on a quote aren't built.
Customers, invoices and payments copy into QuickBooks Online. QuickBooks Desktop and changes made in QuickBooks aren't synced back, and US automatic sales tax is coming soon.
Past 25 people on one account, this isn't the tool for you.
Successware vs EstimateKit cost: a year of each. Same crew, same work.
PRICES CHECKED 2026-10-28
Successware doesn't publish a price. Its FAQ says to contact your account manager for pricing, and data conversion from your old system carries a separate fee that depends on your data (checked 2026-10-28). Support is included in the monthly license fee. EstimateKit is $49 a month, on the pricing page, month to month.
No. Successware was founded in Buffalo, New York in the early 1990s, was owned by Authority Brands, and was sold to JDM Technology Group in March 2025. It runs under its own brand.
Not for accounting on the new platform. Successware's FAQ says its accounting module is built in and replaces QuickBooks; it offers a payroll export to QuickBooks and ADP. EstimateKit works the other way round: it syncs invoices and payments one way to QuickBooks Online, so your bookkeeper keeps the books where they are.
Successware's FAQ puts a typical implementation at 4 to 6 weeks, with about 30 days of data migration. Leaving it, export your customers from a customer report (Marketing List, then Export), save the file as CSV and import it into EstimateKit the same day; ask Successware support for a backup and an A/R aging report so open balances are on record. Setup help is free.
Shops looking past Successware usually compare ServiceTitan, Jobber, Housecall Pro and simpler quoting tools. Jobber sells plans by team size: Connect is $199 a month for five users plus $29 for each extra (checked 2026-10-12). Housecall Pro Essentials is $299 a month for five users plus $100 for each extra (checked 2026-10-08). EstimateKit is $49 a month. Choose by what you'd miss: built-in accounting and call center tools point to Successware or ServiceTitan, financing and online booking to Housecall Pro, two-way texting and a website to Jobber, one flat price and QuickBooks Online to EstimateKit.
