A Furnace Replacement Estimate Template With the Venting and Gas Lines Already In

A furnace swap is easy to underquote. The furnace itself is one line, but the flue pipe, gas line changes, filter rack, permit and haul-away add up, and they are the lines that get forgotten on a quick estimate. This template starts with all of them in the right categories, so the only thing you have to remember is the price.

The job block records the furnace type (gas or electric) and the BTU rating and AFUE, and both print on the customer copy. The terms include a line telling you to enter any utility rebate as a negative line so the homeowner sees it.

It is free and downloads straight away, no email needed. If the homeowner asks what a furnace replacement usually costs before you've been out, the furnace replacement estimator gives a range.

What's in the Furnace Replacement Estimate Template

Four tabs, with amber cells for your input and protected formulas everywhere else.

    Start Here

The five-step order of work and the cell color key.

    Settings

Company details and license number, billable rate ($125 to start) and your labor cost ($87), sales tax (7%), markup by category, deposit (50%), validity (30 days) and labor warranty (one year). Fill it in once.

    Estimate

Seven starter lines: 80,000 BTU 96% AFUE furnace, flue pipe and venting, gas line modifications, thermostat upgrade, filter rack and 4" media filter, permit, and old furnace removal and disposal. Three labor lines: remove existing furnace (2 hours), set furnace, venting and gas (4), startup, combustion test and walkthrough (1). Room for 18 items and six labor lines, then totals and the margin check.

    Customer Copy

Your company header, customer and address, furnace type, BTU rating and AFUE, each line at its marked-up price, labor, totals, deposit and balance, terms including the rebate note, and a signature line.

How to Fill In the Furnace Replacement Estimate

    1. 1

      Fill in Settings

Your rate, your real labor cost, tax and markups. The estimate reads everything from here.

    2. 2

      Record the furnace

Customer details, gas or electric, and the BTU rating and AFUE of the furnace you're installing. Note the existing unit in the description if it helps the homeowner compare.

    3. 3

      Price the furnace

Enter your cost on the Equipment line. It takes the Equipment markup (40% to start); type over the markup if a particular brand or efficiency tier earns more.

    4. 4

      Price venting and gas

Flue pipe and gas line modifications are job-priced Materials lines. A high-efficiency furnace replacing an 80% unit usually means new PVC venting and a condensate drain, so price what the job actually needs.

    5. 5

      Permit, disposal and rebates

Permit and removal sit under Other at 15%. Add a utility rebate as a negative line with its markup set to 0%.

    6. 6

      Adjust the labor hours

Attic installs, horizontal conversions and tight closets take longer than the starter hours. The rate fills in from Settings.

    7. 7

      Check margin and print

Confirm the margin, then save the Customer Copy as a PDF for the homeowner.

Worked Example: An 80,000 BTU Gas Furnace Swap

Example only. The starter lines in the file with the starting Settings: $125 an hour billable, $87 cost, 7% tax, default markups.

Margin check: $3,645 of items plus 7 hours at $87 ($609) is $4,254 of cost. Gross profit is $1,769.75 on a $6,023.75 price before tax, a 29.4% margin (the sheet rounds it to 29%).

That is below the 35-50% the workbook suggests for installs. At 50% on the furnace the job comes to 32.5%. Use the HVAC markup calculator to find the markup that gives the margin you want.

    Furnace Replacement Estimate Template FAQ

Does the furnace replacement estimate template work for electric furnaces?

Yes. The job block has a furnace type field for gas or electric. The starter lines are a gas job, so for an electric furnace replace the flue and gas line rows with the electrical work the job needs, such as a breaker or a new circuit, under Materials.

How do I show a utility rebate on the estimate?

The Customer Copy's own note says to enter the rebate as a negative line item. Put the rebate amount as a negative unit cost, pick a category so the line calculates, and type 0% over its markup so the rebate is shown at face value. It then lowers the subtotal, the sales tax and the total, so confirm that matches how the rebate is actually paid. The note itself also prints on the Customer Copy, so unprotect that tab (no password) and delete or reword it if you don't want the homeowner to read it.

Why does the filter rack get a 100% markup?

It is in the Parts category, and Parts start at 100% on Settings (the note there gives 50-200% for capacitors, contactors and thermostats). If you'd rather price the filter rack like sheet metal, change its category to Materials and it takes the 35% Materials markup.

Where does the combustion test go?

The third labor line is startup, combustion test and walkthrough, one hour to start. Add time if you also check static pressure or adjust gas pressure on site.

Can I add an AC to the same furnace estimate?

Yes. There are 18 item lines and six labor lines, and only seven and three are used. Add the condenser, coil, line set and refrigerant below the furnace lines. If you replace both often, the HVAC estimate template starts with a full furnace and AC system.
