Free HVAC Estimate Template
An Excel workbook for installs and replacements: your cost and markup on one tab, a clean customer copy on another, and a margin check before you send it.

An HVAC Estimate Template That Shows You the Margin
Most free HVAC estimate templates are a blank invoice with a logo box. You type a price on each line and hope it covers the job. This one starts from your cost. You enter what you pay for each item and pick a category, and the workbook adds your markup, prices labor by the hour, charges sales tax on materials only and tells you the gross margin before the customer sees a number.
It is built for residential installs and replacements: a furnace, a condenser and coil, or a full system. The sample rows are a complete gas furnace and 3-ton AC changeout, so you can see how a real job looks before you clear them. For single-piece jobs there are AC installation, furnace replacement and ductwork versions of the same workbook with their own starter lines.
The template is free and downloads straight away, no email needed. It opens in Microsoft Excel, Google Sheets and Apple Numbers.
What's in the HVAC Estimate Template
Four tabs. Amber cells are where you type. White cells with numbers are formulas, and the Settings, Estimate and Customer Copy tabs are protected so you can't overwrite one by accident (Review › Unprotect Sheet, no password, if you need to).
Start Here
The order of work in five steps and a key to the cell colors. Read it once and you won't need it again.
Settings
Your company block (name, license number, phone, email, address, website), billable labor rate, your labor cost per hour, sales tax rate, default markup for five categories, deposit share, how many days a quote stays valid, labor warranty years and your diagnostic fee. Every other tab reads from here.
Estimate
The internal worksheet. A job block with an estimate number, date and a valid-until date that adds your validity days; 18 item lines with category and unit dropdowns; six labor lines; totals with deposit and balance; and a margin check at the bottom that never reaches the customer.
Customer Copy
Pulls only what the homeowner should see: your company header, job details, each line's description, quantity, unit, unit price and total, labor hours and rate, the totals, your terms (deposit, validity, manufacturer warranty plus your labor warranty, permits included) and a signature and date line.
How to Fill In the HVAC Estimate Template
- 1
Set your rates once on Settings
Enter your real billable rate (the file starts at $125 an hour) and your real cost per hour ($87 to start). The note on the sheet shows the math: a $25 tech with 36% burden and $80,000 of overhead spread over 1,500 billable hours is about $87. The HVAC labor rate calculator works out yours.
- 2
Check the default markups
The file starts at Equipment 40%, Materials 35%, Parts 100%, Refrigerant 200% and Other (permits, disposal, subcontractors) 15%. Change them to what you actually charge and every line follows.
- 3
Fill in the job block
Customer name, job address, phone or email, and the system or job type. Set the estimate number and date; the valid-until date fills in from your validity days.
- 4
Enter one line per item
Description, category, quantity, unit (each, linear ft, sq ft, lb, hour, job, roll or box) and your unit cost. The markup fills in from the category and the unit price and line total calculate. Type over the markup on any line you want priced differently.
- 5
Add labor in blocks
One line per task with the hours, for example remove existing equipment, set and connect new equipment, and startup, test and walkthrough. The hourly rate comes from Settings.
- 6
Read the margin check
The internal block shows your total cost, gross profit and gross margin. The sheet's own note says aim for 35-50% on installations and treat anything under 30% as a job overhead will eat.
- 7
Print the Customer Copy
Save it as a PDF and send that. The Estimate tab has your costs on it, so it stays with you.
Worked Example: The Sample Furnace and AC Replacement
Example only. These are the sample rows that come in the file, priced with the starting Settings: $125 an hour billable, $87 an hour cost, 7% sales tax and the default markups. Your prices will be different.
Margin check: your cost is $6,995 in items plus 10 hours at $87 ($870), so $7,865. Gross profit is $9,917 + $1,250 - $7,865 = $3,302. Gross margin is $3,302 divided by $11,167, the price before tax: 29.6%, which the sheet rounds to 30%.
That is under the 35% the sheet recommends, and catching it is the point of the check. A 40% markup is only a 28.6% margin. Raise equipment to 50% and the same job comes out at 33.4%. The HVAC markup calculator converts between markup and margin in either direction.
HVAC Estimate Template FAQ
Does this HVAC estimate template work in Google Sheets?
Yes. Upload the .xlsx to Google Drive and open it with Google Sheets, or use File › Import. The formulas and the category and unit dropdowns carry over. It also opens in Apple Numbers.
Will the customer see my cost or markup?
No. Unit cost, markup, your cost and the margin check stay on the Estimate tab. The Customer Copy shows description, quantity, unit, unit price and line total, labor hours and rate, the totals, your terms and a signature line. Send the Customer Copy as a PDF, never the workbook itself.
Why is sales tax only charged on equipment and materials?
The workbook applies your tax rate to the equipment, materials and parts subtotal and never to labor. Rules differ by state, so check how yours treats installation work. If you don't collect sales tax, set the rate to 0% on the Settings tab.
Can I change the markup on just one line?
Yes. The markup cell fills in from the category you pick, but it is an input cell. Type a different percentage on that line and only that line changes; every other line keeps the default from Settings.
How many lines does the estimate hold?
18 item lines and six labor lines. The sample furnace and AC replacement uses ten item lines and three labor lines, so a full-system job fits with room for extras like a surge protector, a pad or a duct transition.
What does the deposit line do?
It multiplies the total by the deposit share on the Settings tab (50% to start) and shows the balance due on completion. The same percentage is written into the terms on the Customer Copy, so you change it in one place.
